Terms of Service

These terms form a legal agreement between you and Command Pulse Portfolios ("we", "us", "our") and govern your use of the Command Pulse Portfolios website and application (the "Service"). By creating an account, ticking the agreement box, or using the Service, you confirm that you accept these terms and our Privacy Policy. If you do not agree, do not use the Service.

1. Who can use the Service

The Service is intended for prehospital and emergency-care clinicians and students (for example paramedics, technicians, nurses and first responders) for the purpose of recording continuing professional development (CPD) and reflective practice. You must be at least 18 years old and capable of entering into a binding contract. You are responsible for ensuring your use complies with your employer's policies and your professional regulator's standards (for example the HCPC, NMC or equivalent).

2. What the Service is — and is not

Command Pulse Portfolios is a personal CPD and reflective-practice tool — an adjunct to your portfolio only. It is not a clinical record, not a patient record system, and not a substitute for your organisation's official systems. The Service does not provide clinical, medical, or legal advice, and must not be relied upon for patient care decisions.

3. Patient confidentiality & acceptable use

You must never enter patient-identifiable information or images into the Service.

This is a strict condition of use. Storing or uploading patient-identifiable data is a serious breach of these Terms and may also breach data-protection law and your professional duty of confidentiality.

"Patient-identifiable information" includes, without limitation: names, initials, dates of birth, addresses, postcodes, NHS or hospital numbers, telephone numbers, dates and times combined with location, vehicle/incident identifiers tied to an individual, and any photograph, ECG, document or free-text note from which a living individual could be identified — whether directly or in combination with other information.

You agree that you will:

  • keep all entries anonymous, and fully redact or blur any identifying detail from ECGs, images and documents before uploading them;
  • not upload any image or file containing a person's face or other identifying features;
  • use the Service only for lawful purposes and in accordance with the UK GDPR, the Data Protection Act 2018, the common-law duty of confidentiality and your professional code;
  • not attempt to gain unauthorised access to the Service, other accounts, or our systems, and not misuse, disrupt or reverse-engineer the Service.

You are solely responsible for the content you enter. We may remove content and suspend or terminate your account immediately, without refund, if we reasonably believe you have breached this section. If you become aware that identifiable data has been entered, you must remove it without delay and contact us at liam@commandpulseportfolios.co.uk.

4. Your account

You are responsible for keeping your login details secure and for all activity under your account. Use a strong, unique password and notify us promptly of any suspected unauthorised use. You must provide accurate registration information.

5. Free trial, subscription & payment

  • New accounts include a 30-day free trial. A valid payment method is required to start the trial.
  • Unless cancelled before the trial ends, your subscription begins automatically and the first payment of £3 is taken on the date your trial ends, then £3 each month on that date.
  • Payments are processed by Stripe. We do not see or store your full card details. By subscribing you also agree to Stripe's terms.
  • You can cancel at any time from the billing page. Cancellation stops future charges; access continues until the end of the paid period.
  • Except where required by law, payments are non-refundable. We may change the subscription price on reasonable notice; changes apply to future billing periods.

6. Your content and data

You retain ownership of the content you create. You grant us a limited licence to host, store and process it solely to provide the Service. How we handle personal data is described in our Privacy Policy. You are responsible for keeping your own copies of anything you need; exporting your diary is available within the app.

7. Intellectual property

The Service, including its software, design, branding and content (excluding your own entries), is owned by us or our licensors and is protected by intellectual-property laws. You may not copy, modify, distribute or create derivative works from the Service except as expressly permitted.

8. Availability

We aim to keep the Service available but do not guarantee it will be uninterrupted or error-free. We may modify, suspend or discontinue features, and perform maintenance, at any time. We are not liable for any unavailability of the Service.

9. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, to the fullest extent permitted by law. We do not warrant that the Service will meet your requirements, that records will be retained indefinitely, or that it will satisfy any particular portfolio, regulatory or employer requirement. You remain responsible for your own professional records and obligations.

10. Limitation of liability

Nothing in these terms excludes or limits our liability where it would be unlawful to do so (including for death or personal injury caused by our negligence, or for fraud). Subject to that, we are not liable for any indirect or consequential loss, loss of data, loss of profit, or loss arising from your failure to keep entries anonymous. Our total liability to you in any 12-month period is limited to the greater of the amount you paid us in that period or £50.

11. Indemnity

You agree to indemnify us against any claims, losses and costs arising from your breach of these terms, your misuse of the Service, or your entry of patient-identifiable or otherwise unlawful content.

12. Suspension & termination

You may close your account at any time by contacting us. We may suspend or terminate your access if you breach these terms (in particular the patient-confidentiality rules) or where required by law. On termination, your right to use the Service ends; we may delete your data after a reasonable period as described in the Privacy Policy.

13. Changes to these terms

We may update these terms from time to time. If we make material changes we will take reasonable steps to notify you. Continued use of the Service after changes take effect means you accept the updated terms.

14. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, unless mandatory local law provides otherwise.
